Preface

Stichting Share for Kids (hereinafter: “we”) processes privacy-sensitive information, also referred to as personal data, of its donors, volunteers, campaigners, employees, suppliers and other relations. In some cases we work together with other organizations or companies. We do this to help our donors and stakeholders as best we can and to achieve our goals.

 

We believe it is very important that personal data is handled with care. Personal data is therefore carefully processed and secured by us. In doing so, we adhere to the requirements of privacy legislation. This means, for example, that we:

 

  • state for which purposes we process personal data;
  • limit the collection of personal data to only the personal data that is necessary for the purposes for which they are processed;
  • first ask for explicit permission to process your personal data in situations where your permission is required;
  • not pass on your data to third parties, unless this is necessary to provide the requested service or when we are legally obliged to do so;
  • when we share your data, ensure that it is not used for other purposes;
  • take appropriate technical and organizational security measures to protect your personal data and also requirements of parties that process personal data on our behalf;
  • respect your right to access, correct, rectify or delete your personal data on your request.

Why we may process personal data

Our privacy and cookie policy takes into account a number of laws, including:

The first two laws entered into force on 25 May 2018 and replace the Wbp as of that date.

 

The processing of your personal data, as described in this statement, is permitted on the basis of these laws because we have an agreement with you and / or consent from you, or have a legitimate interest (for the purposes described) to prevent this processing or because it is required by law. We will only send you marketing communications with your permission, and you can always choose to opt out (“opt-out”).

Which special and / or sensitive personal data do we process?

Payment details

If you issue a (continuous) direct debit authorization, we will process your IBAN in order to receive the donation. If you transfer a one-off gift to us yourself, we will record your IBAN, so that we can recognize any subsequent gift as a gift from you. When you donate with iDeal or PayPal, this is done via Buckaroo. Buckaroo is a financial service provider that provides secure contact between our website and your bank. If the payment is successful, you will be routed back to our website and Buckaroo will further process the transaction with Stichting Share for Kids.

 

Young people

Our website and / or service does not intend to collect data about website visitors who are younger than 16 years old, unless they have permission from their parents or guardian. However, we cannot check whether a visitor is older than 16. We therefore advise parents to be involved in the online activities of their children, in order to prevent data about children from being collected without parental consent. If you are convinced that we have collected personal information about a minor without this permission, please contact us via our Donors Service and we will delete this information.

 

How do we obtain personal data?

We may collect personal data from you when you contact us directly.

For example, when you contact us directly about our activities, register as a donor or volunteer, make a donation, send us information or contact us directly via social media.

 

We may also collect personal data when you share information through a third party we work with.

For example, when you register as a donor for Stichting Share for Kids through a supplier.

 

We may supplement information about you through public channels.

To ensure that our communications to you are relevant and tailored, we may collect information from public sources.

 

We may collect information from aggregated or anonymous information.

We may collect information about the services you may use and how you use them, for example when you visit our website or watch a YouTube video.

 

Why do we process that personal data?

We process the above personal data for one or more of the following purposes (depending on which services or functionalities you purchase and / or use), including:

 

  • To inform you about our projects, promotions or services that you have requested or that we suspect may be of interest to you.
  • To inform you about our work and activities.
  • To process and manage your donations.
  • To raise funds in accordance with our internal rules and procedures, and in line with CBF standards.
  • To enable the creation and management of a promotion page, including the sponsorship that runs through that page.
  • To register who has signed a petition.
  • To process your subscription to our newsletter.
  • To invite you to participate in voluntary questionnaires or research.
  • To approach you as a contact person for an organization.
  • To analyze the personal information we collect from you and use it along with publicly available information to better understand your interests, preferences and donation options so that we can better contact you and not send you undesirable communications.
  • To match messages shown to you on social media, our website and email to your interests, preferences and other characteristics.
  • To process your application.
  • To analyze and improve the content and operation of our website (anonymised).
  • To comply with our legal obligations (e.g. with regard to taxes, or in the event of calamities for the police and judicial authorities).

 

In particular with regard to marketing purposes, we may contact you via email or SMS if you have agreed to be contacted in this way. We may also send you service notifications via email.

 

If you have provided us with your postal address or telephone number, we may send you information about our work or other means of communication as described above. This can be done by direct mail, by SMS or by telephone, unless you have indicated that you do not want to be contacted in this way.

 

You can request to stop these types of marketing activities at any time. Please contact our Donor Service for this.

 

Recipients of the personal data

The main recipient of the personal data is of course Stichting Share for Kids. There are also some parties that can process this data, such as hosting parties, communication parties, financial service providers and parties that recruit / approach donors for us. These parties only process personal data on our instructions and exclusively for the purposes for which they are intended.

 

How do we combine and analyze the information we collect about you?

For Stichting Share for Kids, we use “adapted target groups” via the social media platforms of Facebook and Instagram. (Personalized) advertisements can be displayed on these platforms. We can match email addresses with existing profiles on social media platforms.

Note: you may still see messages from Stichting Share for Kids afterwards if you fall into a general target group that we focus our messages on.

 

Stichting Share for Kids does not take decisions based on automated processing on matters that can have (significant) consequences for people. These are decisions taken by computer programs or systems, without involving a person (for example, an employee of Stichting Share for Kids).

 

Safe handling of personal data

Stichting Share for Kids ensures appropriate organizational, technical and physical security of its systems, in which your data is stored. In this way we ensure that your data is only accessible to persons who are authorized to do so by virtue of their position. And that the data will only be used for the purposes for which they were obtained and compatible purposes.

 

Personal data of website visitors, newsletter subscribers and donors are treated and secured with the greatest possible care. The Stichting Share for Kids website uses a secure protocol for data exchange, the SSL certificate (recognizable by https: // as the start of all our web pages and the lock before the url). The personal data that you exchange via our web forms cannot therefore be legibly intercepted by others.

 

Donations via iDeal or PayPal go through Buckaroo. Buckaroo is a financial service provider that provides secure contact between our website and your bank.

 

If you feel that your data is not properly secured or if you have indications of abuse, please contact our Donor Service.

 

We also respect the General Data Protection Regulation in the further processing of personal data in our administration.

 

How long do we keep personal data

Stichting Share for Kids does not store your personal data longer than is strictly necessary. The determination of the retention period depends on the purpose for which Stichting Share for Kids has collected the data and on any legal obligations to keep data.

 

Sharing of personal data with third parties

Your data will only be provided to a third party if this is necessary for the purpose for which it was obtained; for example to send you a letter or to call you. The necessary data is always exchanged securely. We establish with implementing third parties that this data is only used for the agreed purpose and is then destroyed. It may also be that we are legally obliged by government agencies or other parties to provide your data. We then only share the strictly necessary data.

 

Stichting Share for Kids never provides personal data to parties with which we have not concluded a processor agreement.

 

Where do we store personal data?

We work with various applications to obtain and store certain data. These applications are subject to strict rules to guarantee your privacy. Most data is stored within the European Union. For the data that is stored outside the EEA, we only work with parties that offer sufficient protection according to European rules. This has been determined for a number of countries, for example for American parties that fall under the “Privacy Shield”. We work with special contracts for transfers to other countries and parties.

 

View, modify or delete data

Everyone has a number of rights under the GDPR. We do our utmost to comply with this as well as possible. Do you have any tips or comments? Let us know! To exercise your rights, you can contact us via our Donors Service.

 

Information and inspection: Of course you can see which of your personal data we process. We are happy to tell you more about how and why we process that data.

 

Rectification: Do you feel that we have wrong information about you? Let us know and we will adjust it.

 

Oblivion: You can have the personal data that we have about you deleted. We may still have to process that data for other purposes (administration or deduplication, for example).

 

Restriction: If you feel that we are processing your personal data unlawfully or incorrectly, you can also have that processing restricted.

 

Objection: You can file an objection for the processing of your personal data. Is it about marketing? Then we will end that processing as soon as possible.

 

Transferability: This is a new right under the GDPR to transfer your personal data or have it transferred. If you would like to make use of this, please contact us.

 

You can also withdraw your consent at any time for, for example, receiving e-mails or other processing.

You can also indicate that you no longer wish to receive marketing information. You can let our Donors Service know about these and other preferences.

 

If you have indicated that you no longer wish to be contacted for marketing purposes, we will keep these details on an unsubscribe list to ensure that we do not contact you further for marketing purposes. We can still approach you for administrative purposes

 

You can send a request for access, correction, deletion, data transfer of your personal data or request for cancellation of your consent or objection to the processing of your personal data to our Donor Service. To ensure that the request for access has been made by you, we ask you to send a copy of your ID with the request. Make your passport photo, MRZ (machine readable zone, the strip with numbers at the bottom of the passport), passport number and Citizen Service Number (BSN) black in this copy. This is to protect your privacy. For example, you can use the “CopyID app” for this.

We will respond to your request as soon as possible, but no later than four weeks.

 

Stichting Share for Kids would also like to point out that you have the opportunity to file a complaint with the national supervisory authority, the Dutch Data Protection Authority, if you think that we are not acting in accordance with privacy legislation.

 

Job applicants and current and former employees

If you apply for a job at Stichting Share for Kids, only the information you provide will be used to assess your application. During the application process, information is also collected to assess whether you are suitable for the position. If we want to request references or have an external party perform a background check, we will ask for permission in advance.

 

If we recruit for another party or for an appointment in another country, your personal data will be sent to that other party or country. The level of data protection in that other country may not be as high as in the European Economic Area.

 

If you are not hired after the application procedure, your personal data will be destroyed within 4 weeks. We may still want to keep your personal data / CV in portfolio. In that case we will ask for your permission and keep your data for a maximum of 1 year.

 

Upon commencement of employment, a personnel file of your employment contract is compiled. This information is kept secure and is only used for matters directly related to your employment, and is only accessible to those who directly deal with you as an employee.

If you leave our employment, your personnel file will be kept until the legal retention period has expired.
